Facility Maintenance

Work order software for facility maintenance companies

Facility maintenance providers handle work orders from property managers and multi-location clients, often across several trades and many sites. Each client has its own reference numbers, cost limits and response times. CRMTX stores all of that on the work order and keeps the job moving from dispatch to invoice.

Work orders built for multi-site clients

Every work order can carry the details facility clients expect you to track:

  • The client’s own WO number, so invoices and updates match their records
  • A DNE (do not exceed) amount for the approved cost limit
  • Priority and SLA time in hours
  • Trade, site address, location name, location number and store phone
  • Attached documents and photos

Each client profile keeps contacts, service history and rates by trade, and account managers can be assigned to clients.

Dispatch across trades and locations

The Tech Finder map searches for technicians near a site within a radius and filters them by skill, so plumbing, electrical and HVAC calls each go to the right person. The scheduling calendar shows all jobs by technician with drag-and-drop rescheduling in month, week or list view.

See which jobs are stuck, and why

Statuses cover the whole life of a job: Pending Dispatch, Dispatched – Confirm ETA, Pending Tech Arrival, Tech Onsite, Materials Needed, Pending Part Delivery, Pending Quote, Pending Quote Approval, Escalated Dispatch, On Hold, Job Completed and Invoiced. Filter by status to see exactly where work is waiting.

Grow and manage your technician network

The TMD portal handles technician applications, invitations, contract signing and compliance documents. Technicians use the Tech Portal in their phone’s browser to see their jobs, check in and out, and upload photos.

Technician profiles store skills, certifications and pay rates, and the Tech Finder shows who is available, busy or already on a job before you assign the next one.

Quote, invoice and report by client

Quote work beyond the approved amount and wait for client approval. Invoice from the completed work order with a PDF, and track client payments and technician payments. Reports include SLA performance, client insights and financials for any date range.
